At Lumin Valor Architecture, we only collect what we need to do our job well, and we don't mess around with your personal information. This isn't some copy-paste legal document... well, okay, parts of it have to be for compliance reasons, but we've tried to make it as human as possible.

When you reach out to us or work with us, here's what we typically gather:

  • Contact Details: Your name, email, phone number, mailing address - the basics so we can actually get back to you
  • Project Information: Property details, budget ranges, timeline preferences, design goals. Can't really design your space without knowing what you're after, right?
  • Communication Records: Emails, meeting notes, phone call summaries. We keep these so we don't forget what we discussed three weeks ago
  • Financial Info: Billing details, payment information for invoicing. Gotta keep the lights on somehow
  • Website Analytics: Basic stuff like IP address, browser type, pages visited. Helps us understand if our website's actually working

We don't collect anything weird or unnecessary. If we need something specific for your project, we'll ask directly.

Pretty simple, really. We use your info to:

  • Respond to your inquiries and provide quotes
  • Design and plan your architectural projects (kinda the whole point)
  • Manage contracts, invoicing, and project timelines
  • Communicate updates, changes, or issues during the project
  • Comply with building codes, permits, and legal requirements
  • Improve our services based on feedback and project outcomes
  • Send occasional updates about our work - but only if you've said it's cool

We're not selling your data to advertisers or spamming you with junk. That's not our style. If we ever want to use your project in our portfolio, we'll ask permission first.

We keep your information pretty locked down, but there are some situations where we need to share it:

Our Team

Obviously, our architects, designers, and project managers need access to your project details. They've all signed confidentiality agreements.

Project Partners

Sometimes we work with engineers, consultants, contractors, and other professionals. We only share what's necessary for them to do their part of the job.

Legal Requirements

If we're legally required to share information (like for building permits, regulatory compliance, or court orders), we'll do that. But we'll let you know when possible.

Service Providers

We use cloud storage, accounting software, and other tools to run our business. These companies have their own privacy policies, and we pick ones that take security seriously.

What we don't do: Sell your info, rent our contact lists, or share your details with random third parties for marketing. That's just tacky.

We take reasonable precautions to keep your information secure. Here's what that looks like:

  • Encrypted data storage and transmission (fancy tech speak for "scrambled so hackers can't read it")
  • Secure servers with regular backups
  • Limited access - only team members who need specific info can see it
  • Password-protected systems and two-factor authentication where possible
  • Regular security updates and monitoring

That said, nothing's 100% foolproof in the digital world. We do our best, but if there's ever a breach, we'll let you know ASAP and tell you what we're doing about it.

We're not hoarders, but we do need to keep project records for a while:

  • Active Projects: For the duration of the project plus warranty periods
  • Completed Projects: Typically 7-10 years for legal and professional liability reasons (standard in the architecture world)
  • Financial Records: As required by Canadian tax law - usually 7 years
  • Marketing Inquiries: If you contacted us but didn't proceed with a project, we'll keep your info for about 2 years in case you change your mind

Once we don't need your info anymore, we delete or anonymize it. We're not keeping old client files in a dusty basement somewhere.

Want to know what we have on file? Just ask. We'll show you what we've got (within reason - some stuff might be legally privileged).

Our services aren't directed at kids under 13, and we don't knowingly collect information from children. If you're a parent and think we've somehow got your kid's info, let us know immediately and we'll delete it.

Honestly, most kids probably aren't super interested in sustainable commercial architecture anyway... but if we're wrong about that, they should still have a parent or guardian handling any contact with us.

Privacy laws change, our business evolves, technology improves - so yeah, we might update this policy from time to time. When we do, we'll change the "last updated" date at the top.

If we make any major changes (like suddenly deciding to sell data, which we won't, but hypothetically), we'll let you know directly via email or a prominent notice on the website.

It's worth checking back here occasionally, especially if you're an active client. We promise to keep it readable and honest.
